Academic Records Specialist
General Function
The Academic Records Specialist logs the receipt of all incoming external transcripts, evaluates transcripts for transfer credit, and maintains non-course credits associated with transfer credits.
Qualifications
Associate degree from an institution accredited by a federally recognized institutional accreditor
Proficiency in Microsoft Office software and the use of a variety of office equipment to include fax machine, photocopier, scanner, and videoconferencing and telephone systems
Excellent typing, public relations, communications, and problem-solving skills
Strong organizational skills with attention to detail
Ability to maintain a high level of confidentiality
Working knowledge of the Datatel Colleague system preferred

Typical office environment
Frequently sitting at a desk or workstation using a telephone, computer, keyboard, scanner and mouse; some standing and walking
Essential Functions and Responsibilities
The duties of the Academic Records Specialist include, but are not limited to:
Enter high school, GED, and college transcript data in Colleague
Enter high school chemistry scores in Colleague
Enter high school GPA scores on XDEVE for placement in Colleague
Enter AP and CLEP scores in Colleague
Enter course credit for Prior Learning
Document transferred English and math, including prerequisite courses from transcripts
Coordinate transcript information during registration to ensure prerequisites are met
Coordinate with the Admissions Office regarding the status of transcripts, and accreditation of colleges
Analyze and evaluate crosswalk credits from quarter to semester hours
Research course descriptions from other colleges and universities for course equivalencies
Coordinate and record full evaluation of all incoming official college and university transcripts for equivalent transfer credits
Mark transcripts received in Element 451
Meet with students or advisors who have questions or concerns about transcript evaluations
Enter approved Academic Substitution and Waiver Form information
Provide coverage at the front desk when needed
Assist with registration and graduation
Work closely with other departments within the College
Other duties as assigned by the Registrar and/or Dean of Student Services
